Bookkeeping
Every account tied to reality
Each account on your balance sheet checked and backed with evidence every period — so the numbers hold up when a lender, an investor, or a buyer starts asking.
How HaiFi does this
The workflow, step by step.
Every step is captured in the audit log — what was decided, why, and anything we weren't sure about. If you or your CPA ever need to trace a number back to its source, it's all there.
- 1
Pull new transactions in balance sheet accounts
Pull every new transaction posted to each balance sheet account this period — straight from QBO, Xero, or AccountingSeed.
- 2
Generate subledger tabs
Build one subledger tab per balance sheet account, rolling the ending balance forward from the prior month's workpaper and applying this period's activity.
- 3
Identify reconciling items
Deposits in transit, outstanding checks, unrecorded accruals, prepaid amortizations, FA additions, equity activity — surfaced with the source records cited on each subledger tab.
- 4
Generate the lead sheet
Lead sheet that ties every subledger tab to the balance sheet — one row per account with the subledger balance, GL balance, and variance.
- 5
Flag variances for review
Anything that doesn't tie is highlighted with commentary on what's missing or off, and links back to the source records in HaiFi.
- 6
Iterate until subledgers match
Resolve variances, refresh the workpaper, and repeat until every subledger ties to the GL with zero unexplained difference.
- 7
Final trial balance check
Pull the trial balance from the accounting system one last time and compare end-to-end so the workpaper integrity hasn't drifted while you closed.
What you get
What lands in your books.
A branded Excel or Google Sheets workbook: one subledger tab per balance sheet account, a lead sheet that ties everything to the GL, variances flagged with commentary, and source-record links back into HaiFi.
Without HaiFi vs. with
The time you get back.
A senior bookkeeper exports trial balance, opens last month's workpaper, walks each account against the subledger by hand, types the reconciling items, builds the formula tabs, and writes the variance commentary. Two to four hours per client every month — by someone senior enough to know what 'ties out' means.
The system runs on cadence. Your team reviews the subledger tabs to confirm accuracy, then signs off the entire month-end close in one pass. HaiFi MEC packets typically complete in under 10 minutes for most SMB clients.
